Manage your teams users and invite colleagues to the portal

How teams work

Your Green Mini host account is organised around teams. A team represents a company or organisation and is the container for everything: services, orders, invoices, payment methods, and people. If you manage hosting for multiple organisations, you can belong to multiple teams and switch between them from the portal navigation.

There are two types of people on a team: members and contacts. Members have a portal login and can do things like manage servers, place orders, or view invoices, depending on their assigned roles. Contacts do not have portal access. They are email addresses that receive notifications, for example an accounting department that needs invoice copies or a colleague who wants to receive status updates.

Creating a new team

You can create a new team from Settings > Team by scrolling to the "Create Team" section. Only create a new team when you need a separate organisation with its own billing, services, and members. Teams are treated as fully independent entities. If you just want to give a colleague access to your existing setup, invite them as a member to your current team instead.

Roles

Every team member is assigned one or more roles that determine what they can see and do in the portal.

Owner

The person who created the team is automatically the owner. The owner has full access to everything and is the only person who can change other members' roles, enable or disable members, or request an ownership transfer (via support). The owner cannot be removed or disabled.

Assignable roles

When inviting or managing members, you can assign any combination of these roles:

View invoices, manage payment methods, manage billing settings

A member can have multiple roles. For example, someone who handles both purchasing and finance can have the Orders and Billing roles at the same time.

Inviting a team member

Go to Settings > Team, find the "Invite Team Member" section, enter their email address, select one or more roles, and click Send Invite.

The invitee receives an email with a link to accept. If they do not have an account yet, they can create one during the process. Once accepted, they appear as a team member with the roles you assigned.

Managing contacts

Adding a contact

Go to Settings > Team, find the "Team Contacts" section, enter a name and email address, and select which notification categories they should receive.

Editing or removing a contact

You can update a contact's name and email at any time, or remove them entirely.

Converting a contact to a member

If a contact later needs portal access, you can convert them to a full team member by clicking Convert to invite. Choose the roles to assign and send the invitation. They receive an invite email and can create an account or log in to accept.

Notification preferences

You can control exactly who receives which types of notifications. This applies to both team members and contacts.

To configure this, go to Settings > Team and find the "Notification Preferences" section. You will see a grid with all team members and contacts listed, and notification categories as columns. Toggle the checkboxes to enable or disable specific categories per person.
